Turbo Doctor LLC ("Turbo Doctor," "we," "us," or "our") operates theturbodoctor.com, the work order portal at wo.theturbodoctor.com, and related web properties. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights.

1. Information We Collect
Information You Provide
- Fleet proposal & credit application: legal business name, DBA, EIN, entity type, business address, fleet size, makes and models, primary and billing contacts, trade references (if provided), authorized signer information, and stated terms preference.
- Contact forms & newsletter signups: name, email, phone (optional), company, message content.
- Orders placed on theturbodoctor.com: name, shipping and billing address, items ordered, and order history. Payment card data is handled by Shopify and is never stored on Turbo Doctor's servers.
- Work order portal interactions: for staff users, authentication credentials managed via Supabase Auth; for customers receiving an approval link, the name and email entered during approval.
- Email correspondence: anything you send us, and metadata about messages (timestamps, subject lines, thread history).
Information Collected Automatically
When you visit our website, we automatically collect:
- IP address, browser type, device type, operating system, language.
- Pages visited, time on page, referring URL, outbound clicks.
- Clicks, scroll behavior, and form interactions.
- Cookies and similar tracking technologies (see our Cookie Policy).
Session Recordings and Heatmaps
We use Microsoft Clarity to record and analyze how visitors interact with our website, including mouse movements, clicks, scroll depth, and form interactions. Clarity also generates aggregated heatmaps showing where visitors click and how far they scroll. We use this data to improve the user experience and to identify and fix usability issues. Clarity masks sensitive form inputs (passwords, credit card numbers) by default and does not record personal information typed into those fields. 2. How We Use Your Information
We use the information we collect to:
- Respond to inquiries and prepare quotes.
- Process orders, generate invoices, and collect payments.
- Evaluate credit applications and contact trade references (only when authorized in the application).
- Send transactional emails: order confirmations, quote approval links, invoices, and shipping updates.
- Send marketing emails (newsletter, fleet program updates, technical bulletins) to those who opt in; you can unsubscribe at any time.
- Operate, secure, and improve the website and the work order portal.
- Measure the effectiveness of our advertising and retarget visitors across Google's advertising network.
- Meet our legal, tax, and accounting obligations.
3. Third-Party Service Providers
We share information with the following processors who help us operate. Each is contractually obligated to protect your information and may only use it as needed to provide services to us.

4. Advertising and Remarketing
We use Google Ads to reach relevant fleet and automotive audiences. If you visit our site, you may later see our ads on Google Search, YouTube, or sites in Google's Display Network. To opt out of personalized Google ads, visit google.com/settings/ads.

6. Your Rights
For all visitors
- Unsubscribe from marketing emails at any time via the link in any email, or by emailing info@theturbodoctor.com.
- Request deletion of your information, subject to legal retention requirements for orders, invoices, and credit applications.
- Request access to or correction of the personal information we hold about you.
For California residents (CCPA / CPRA)
You have the right to:
- Know what personal information we collect, use, disclose, and sell or share.
- Delete your personal information.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information. We do not sell personal information for money. However, our use of Google Ads for advertising may qualify as "sharing" under California law. To opt out, you may install browser-based signals such as the Global Privacy Control (GPC), which we honor for California users, or email us at info@theturbodoctor.com.
- Limit the use of sensitive personal information. We do not collect sensitive personal information as defined under CPRA.
- Non-discrimination for exercising your rights.
To exercise these rights, email info@theturbodoctor.com with the subject line "Privacy Request." We may ask you to verify your identity by confirming recent interactions (order number, contact history).
7. Data Retention
- Website analytics (GA4, Clarity): up to 14 months by default.
- Advertising data (Google Ads): per Google's retention, typically up to 540 days.
- Customer and order records: retained through the active customer relationship and for 7 years after the last transaction, or longer where required by tax or accounting law.
- Credit application data: retained as long as necessary to manage any credit relationship and to meet related obligations, plus 5 years after account closure.
- Marketing email list: retained until you unsubscribe; we also honor suppression lists so you won't receive emails after unsubscribing.
8. Security
We use reasonable technical and administrative safeguards, including TLS-only website delivery, Supabase row-level security on customer data, password-protected dashboards, and least-privilege access for staff. No method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children
We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
10. International Visitors
Turbo Doctor LLC is based in Illinois, USA. Our service providers (Google, Microsoft, Supabase, etc.) may process data in other countries. If you visit from outside the United States, you acknowledge that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated via a notice on our website or by email to active customers.
